What each guest actually costs you — the one number that controls your budget

Your cost per guest is the most useful figure in wedding planning, because it is the only number that connects the two decisions couples argue about most: how much you spend and how many people you invite. Which costs scale with each guest, and which do not

The tool separates your budget into three behaviours, and this separation is where most estimates go wrong.

Strictly per-head: catering, bar, cake, rentals for tables and chairs, place settings, linens, napkins, favour, printed invitation, escort card, and the seat at the ceremony. These rise one-for-one with every added guest and never come down.

Step costs: the number of dinner tables, bars, restroom trailers, servers, and shuttle runs. Adding two guests to a full table costs a whole table, which is why guest lists are best built in table-sized increments.

Fixed: venue rental fee, band or DJ, photographer, officiant, your attire, and decor. These do not change with headcount, which means a larger wedding spreads them across more guests and lowers the average cost per head — even though the total rises.

Typical all-in cost per guest in 2026

Budget-conscious, off-season, $80–$130 per guest. Buffet or family-style catering, beer and wine, limited rentals.

Mid-range, peak season, $150–$220 per guest. Plated dinner, open bar for a set number of hours, full rentals, a cake and a dessert table.

Upper tier, major metro, $250–$450 per guest. Passed canapes, premium bar, multi-course plated service, extensive rentals and decor, late-night food.

Three things push a wedding above its bracket: an open bar, a required venue catering minimum, and service charge plus sales tax stacked on the catering invoice. On a $15,000 catering line, 20 percent service charge and 8 percent tax add $4,200 that rarely appears in a first draft.

Using the number well

Calculate your cost per guest before you finalise the guest list, not after. Then use it in exactly two ways. First, as a decision price: if the difference between inviting 100 and 130 people is $6,000, ask what else $6,000 would buy and whether the 30 additional guests are worth more to you. Second, as a negotiating tool: ask the venue for the all-in per-head figure including service charge and tax, in writing, before you compare it to anyone else.

Watch the table maths too. An eight-person table at a 100-guest wedding needs thirteen tables; a ten-person table needs ten. Fewer tables means fewer centrepieces, fewer linens, and less labour, which quietly reduces your cost per guest without changing anything else.

Does cost per guest include my own costs like the dress and photographer?

It should. Include every fixed cost and divide by the guest count, then look at the per-head variable costs separately. The combined figure is your true cost per guest.

Why is my cost per guest higher for a smaller wedding?

Because fixed costs are spread across fewer people. A $4,000 photographer costs $80 per guest at 50 guests and $26 per guest at 150.

How much does an open bar add per guest?

Between $25 and $70 per person depending on the tier and duration. A consumption bar with a cap is often the best-value compromise.

Should children count as full guests?

For catering, usually a reduced child rate applies, but for seating and rentals they still occupy a place setting. Count them separately in both directions.
